This privacy policy explains what personal information Scaflox ("Scaflox", "we", "us") collects when you visit scaflox.com or contact us, how we use it, who we share it with, and the choices you have.
If you have any question about this policy or your information, email us at hello@scaflox.com.
Information we collect
Information you give us
- Contact and project enquiries: your name, email address, company (optional), project type, budget range and the project details you write.
- Job applications: your name, email address, phone number (optional), a link to your résumé or portfolio, the role you are applying for and your message.
- Emails you send us directly.
Information collected automatically
- Technical data that any web server receives, such as your IP address, browser type, device type, the page requested and the time of the request. Our hosting providers keep this in short-term server logs for security and troubleshooting.
- Spam-protection signals collected by Google reCAPTCHA when you use one of our forms (see "Spam protection" below).
We do not use analytics, advertising or tracking tools, and we do not build profiles of visitors.
How we use your information
We use the information described above to:
- reply to your enquiry and discuss, plan and deliver a project with you;
- send you a confirmation that we received your message or application;
- review your job application and contact you about it;
- keep our website secure, prevent spam and abuse, and fix technical problems;
- meet legal, tax and accounting obligations and protect our legal rights.
We do not use your information for automated decision-making.
Spam protection (Google reCAPTCHA)
Our contact and job application forms are protected by Google reCAPTCHA v3, provided by Google LLC. reCAPTCHA only loads once you start filling in a form. It checks whether the form is being used by a person or an automated program, and to do this it sends information such as your IP address, browser and device details and how you interact with the page to Google.
Google's Privacy Policy (policies.google.com/privacy) and Terms of Service (policies.google.com/terms) apply to reCAPTCHA.
Links to other websites
Our site links to services we do not control, such as Calendly (for booking a call), LinkedIn and Instagram. When you follow those links, the other service's own privacy policy applies.
How long we keep information
We keep personal information only as long as we need it for the purposes above:
- Enquiries that do not lead to a project: up to 2 years after our last contact with you.
- Client project communication: for the duration of the project and as long as needed for tax, accounting and legal purposes afterwards.
- Job applications: up to 1 year after the hiring decision, unless you agree to us keeping your application for future roles.
- Server logs: kept for a short period by our hosting providers.
You can ask us to delete your information sooner (see "Your choices and rights").
How we protect information
We use reasonable technical and organizational safeguards, including encrypted connections (HTTPS), access controls and reputable providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your choices and rights
You can contact us at hello@scaflox.com at any time to:
- ask what personal information we hold about you and get a copy of it;
- correct information that is wrong or incomplete;
- ask us to delete your information;
- withdraw a job application or opt out of any emails from us. Emails we send for outreach include an unsubscribe link.
Depending on where you live, you may have additional rights under local law, such as the right to opt out of the sale or sharing of personal information (we do not sell or share it) and the right not to be treated differently for exercising your rights. We will verify your request before acting on it and respond within the time required by applicable law. You may use an authorized agent to make a request on your behalf.
Visitors from the European Union and United Kingdom
If you are in the EU, the EEA or the UK, the General Data Protection Regulation (GDPR) or UK GDPR applies to our handling of your information.
We rely on these legal bases:
- Taking steps at your request before entering into a contract, or performing a contract (replying to project enquiries and delivering projects).
- Our legitimate interests (keeping the site secure, preventing spam with reCAPTCHA, answering general questions).
- Your consent, where we ask for it (for example, keeping your application for future roles). You can withdraw consent at any time.
- Legal obligations (for example, tax and accounting records).
Your information is processed in the United States and other countries where our service providers operate. Where required, these transfers are protected by safeguards such as the EU Standard Contractual Clauses or the EU-U.S. Data Privacy Framework.
In addition to the rights above, you have the right to restrict or object to processing and to data portability, and you can lodge a complaint with your local data protection authority.
Children's privacy
Our website and services are intended for businesses and are not directed to children under 13 (or under 16 in the EU). We do not knowingly collect personal information from children. If you believe a child has sent us information, contact us and we will delete it.
Changes to this policy
We may update this policy as our website and business change. We will post the updated version on this page and change the "Last updated" date above. If a change is significant, we will make it clear on the site.
